Booking Process

Booking your adventure with Himalayan Ecstasy Nepal is simple and transparent. To confirm your trip, please follow the three phases below.

Phase 1: Trip Inquiry & Confirmation

Send us an email confirming your selected trip and preferred travel dates. Or, you can fill out any of these forms: Plan Your Trip / Customize Trip.

We will send you the following (in all digital formats):

  • Trip availability confirmation
  • Official invoice (bank details are mentioned in the footer)
  • Booking form [YOU CAN DOWNLOAD FROM HERE]
  • Required documents checklist

Once you confirm by email, we proceed to Phase 2.

Phase 2: Required Documents & Advance Payment

To officially confirm your booking, the following are required:

  • Copy of passport (minimum 6 months validity)
  • Passport-size photo (digital preferred)
  • Completed digital booking form
  • Travel insurance copy (can also be presented upon arrival)

Advance Payment

For Nepal Trips:

  • 25% advance payment: Trekking & Tours
  • 30% advance payment: Peak Climbing & Expeditions

Note: Advance percentage depends on trip category and permit processing requirements.

For Tibet Trips:

  • Mandatory Chinese government documentation required
  • 50% advance payment
  • Documents must be submitted well in advance for permit processing

For Bhutan Trips:

  • 50% advance payment
  • Advance booking required due to strict government tourism policies

The advance payment must be transferred via: 

  • International wire transfer
  • Cash (USD, EURO, or GBP)
  • Credit card (with 3.5-4% additional charge)

After making the transfer, kindly email us the payment receipt for verification.

Phase 3: Final Payment & Pre-Departure Preparation

Once the required documents and advance payment are received, your trip will be officially confirmed via email. Then, we proceed with the final phase.

For Nepal Trips

  • Remaining balance payable upon arrival in Nepal or,
  • At least 2 weeks prior to departure (as per agreement)

For Tibet, Bhutan & India Trips

  • The remaining balance must be paid at least 2 weeks prior to departure

Payment, Cancellation & Refund Policy

The advance payment received is used immediately for necessary trip arrangements such as hotel reservations, domestic flights, permits, guide's insurance, transportation, guide and porter allocation, and other logistical preparations according to your itinerary.

Therefore, the advance payment is non-refundable if the client cancels the trip after confirmation.

For Nepal trips, once the advance payment (25% for trekking & tours / 30% for peak climbing & expeditions) is received, we begin official preparation and reservation processes.

For Tibet, Bhutan, and India trips, advance payments are also used for mandatory government documentation, permits, and pre-arrangements.

So, if the remaining balance is not paid within the agreed time frame, Himalayan Ecstasy Nepal reserves the right to cancel your trip. In such cases, the advance payment will be forfeited.

Final Notes

  • For restricted areas (Manaslu, Upper Mustang, Dolpo, etc.), permits require processing time.
  • Last-minute bookings (within 15 days) require full payment.
  • All clients must provide accurate personal details.
  • Travel insurance is strongly recommended.
